How much time does each stage of paper in Elsevier Editorial System (EES) take? [closed]

We have submitted a paper to an Elsevier Journal and now I want to know how much time each stage in article lifecycle take?

Please Note: Most journals aim to communicate decisions to authors within four months of the start of the review process. There are a number of factors that may influence the actual time taken, most notably the availability and responsiveness of the article's referees. In consequence, peer review times do vary per journal. During the peer review process your article will show a status of ‘Under Review’.

But our paper status is Technical Check In Progress . this status is not mentioned in Elsevier site! I'm confused about this statuses. and now after 40 days the status is still in that stage. I want an estimation about time of this steps to see if I should be concern or not.

Each electronic manuscript handling system typically has a set time frame for each part of the review-revisions process. The systems have default values which, I would assume, are what most journals use. It is, however, possible to custom make the different time periods for each part of the process.

1.Submitted to Journal: This usually does not involve a lot of time and a reasonable time frame might be 5-10 days depending on factors such as workload, time of year etc. The step might involve inspection of the quality of the submitted material, but not necessarily.

2.Editor Invited (Conditional - this step may not occur): This may again be another 5-10 days and may be affected by workload etc.

3.With Editor: The main problem that occurs here is difficulty to assign reviewers. The editor may also be overloaded with work. The time frame is likely something like 3 weeks but will vary.

4.Under Review: Each journal has a time frame and 3 weeks is what I am accustomed to in my field. Reviewers that accept reviews and never return them is a problem here. How quickly the editor tries to assign other reviewers to speed up the process will vary from person to person and journal to journal.

5.Required Reviews Complete: I am not sure if you actually mean revisions here because typically the author gets about 3-6 weeks to revise the manuscript. This is another point where delays can occur but they are self-inflicted.

6.Decision in Process: The decision process may require some time since the editor needs to read the revised manuscript and the revisions/rebuttal from the author to make a decision. In many cases there is cause for another round of reviews which would loop back to 4 and 5.

7.Completed – Accept: 7 could be 6 if the manuscript gets accepted after one round (rare in many circumstances).

Once accepted, the manuscript goes to copy editing and type-setting. This may be a quick process depending on the resources provided by the publisher. Journals using LaTeX have the advantage of having print ready proofs basically at the turn of a switch.

To sum up. Each of these steps can take various amounts of time depending on the working conditions at the journal as well as the expedience of reviewers and authors. I think the time frames I have outlined are reasonable but that does not mean all journals will be that quick (or slow, depending on your view).

I happened to have recently gone through most of this process with EES in the past few months and can provide my actual timeline (but not done yet!), for what it's worth:

Submitted to Journal: Day 0

Editor Invited (Conditional - this step may not occur): N/A

With Editor: Day 2

Under Review: Day 14

Required Reviews Complete: Day 44 , revisions were then submitted back to EES 14 days later ( Day 58 ).

With Editor: Day 60

Under Review: Day 65

Required Reviews Completed: Day 73

Decision (Accepted): Day 75

Final Disposition: Day 76

Sent to/Received by Elsevier: Day 76

Publishing agreement/Offprint order/Color figures forms sent: Day 80

Proofs Available: Day 81

Once the last few steps are complete, I'll add these, but this covers most of the process. Perhaps if others do the same, a statistical estimate can be made.

Technical Check In Progress refers to the Technical screening which is explained at:

To solve the problem of peer reviewers and Editors being overloaded with manuscripts which contain many ‘technical’ problems such as poor English, Elsevier introduced a Technical Screening process for all journal submissions

This process shouldn't take too long. 40 days sounds too much to me and you may want to email the editor asking for an update on the status of your paper.

UPDATE: I just realised from your profile that you are Iranian. The delay might also be caused by the sanctions implemented by Elsevier against your compatriots.

Most of the time will be spent “under review” . That's the limiting step: sending the paper to reviewers, and waiting for them to review it. In some cases, the paper might also take some time before that (“with editor”), if the editor has a hard time finding willing reviewers.

I have many publication in peer review journals and I would share my experience with manuscript submission. When the manuscript is within the scope and of high quality, one should not always expect that an Editor would be willing to pass it to review. There are many reasons. It is most likely that an Editor would not challenge other recognized authors and, in order to avoid complications, he/she would not take a responsibility to publish it. So, if you receive later something like "the topic is too broad or too narrow and the Editorial Board has decided to reject your submission", - do not be surprised. The most of Editors are fair enough, but sometimes strange thins may happen.

Difference between the journal paper status of In Review and Under Review

When you submit a research manuscript for peer review , the journal may report the status of the review as “in review” or “under review”.

From a purely grammatical perspective there’s not much difference between the two terms. It may be that one journal uses the term “in review” and another the term “under review”, both to signify the same thing: that your academic paper is now being reviewed by experts in your field.

Some journals may however use both terms to represent different stages of the review process. In this case you’ll see the status of your submitted paper change from “in review” to “under review”:

This means that you have successfully submitted your manuscript to the journal and your submitted documents are now being verified. This part of the submission process will include ensuring that you have uploaded all necessary documents and that the content of your manuscript is suitable for the theme of the journal. This initial review process is typically performed by one of the editorial staff at the journal.

Under Review

When the status of your manuscript changes to under review, this means that it has passed the initial editorial checks. The journal has confirmed that you’ve uploaded and submitted the correct documents and that the content of your paper is relevant to your journal. The status of under review means that the paper has been sent to external expert reviewers and your paper is now being assessed by them.

Note however that some journals may use the reverse of the above if making a distinction between the two terms. That is to say that some journals may have the status of the submitted paper as under review whilst they assess its suitability for review and the status in review when it’s actually being assessed by reviewers.

You may also notice that the date associated with the status of under review changes even though the actual status does not. In these cases, it’s likely an update from the journal to indicate that the associate editor has sent the manuscript to a new peer reviewer for assessment.

This sometimes happens during the peer review process where the journal editor may send out the submitted manuscript to several potential reviewers who don’t respond with a decision or recommendation; to progress the review process, the editor then sends the manuscript to different reviewers. This is one of the reasons why the peer review timeline can sometimes be so variable.

It’s becoming more common for journals or the corresponding author to make a preprint version of your journal submission available to read. After you receive reviewer comments and have submitted a revised manuscript, then this revision may then also be made available in an early sharing format. Following the final decision, the accepted manuscrip t should be the publication version that replaces the previous versions of the submission that were made available as preprints.

You should have the option to not make your project work publicly available under it’s been peer reviewed; in some cases this may be a requirement placed on you by your funders.

Q: Does "Under Review" mean that the paper has passed the editorial check?

This summer, I subsequently submitted a paper to top twelve journals where it was desk rejected by the editor (it is a debatable work concerning fairness of CEO salaries). Now, during the thirteenth try, it has been "With Editor" for half a day, thereafter "Under Review". Can I be sure that this time that it has not been desk rejected?

Status descriptions vary across journals. The submission systems of some journals use the status "under review" even when the manuscript is under the initial editorial assessment. Since the status of your paper changed to "under review" half a day after being "with editor," I'm inclined to think that "under review" in this case refers to the initial editorial screening. The editor will have to evaluate your manuscript, find reviewers, send out reviewer invitations, and acceptance emails from the reviewers before the status can change to 'under review.' Half a day seems too short a time for all these to be done. Hence, I have a feeling that your paper is possibly being reviewed by the editor currently, not by external reviewers, which unfortunately means that it still stands a chance of getting desk rejected.

Is it fine to inquire about a paper that's been under review for around 9 months?

I have submitted a paper on applied probability in one of SIAM journals. The paper is under review for 9 months. I asked the editor 1 month ago about it, I was told that one review report has come and they are waiting for the other. Will it be ok if I politely inquire about it now (I have inquired 3 times till now after submission). How frequently I should inquire from now on so that it is not rude. Another question is that, is it the usual time taken for review in SIAM journals?

My experience is in Pure Mathematics, not in Applied Probability. In my area, at least, it is unusual to have a full report recommending acceptance (pending revisions) in under a year, although it can happen much faster. It has happened to me within a few weeks, but that is the exception rather than the rule. My first paper was three pages long and took about 10 months from submission to acceptance. At the time, this seemed quite long to me, but by now I realise it was actually rather reasonable.

It is certainly "fine to inquire about a paper that's been under review for around 9 months". However, if you have already inquired 3 times, and most recently one month ago, then I suggest that you should wait. Editors are busy people, and it can be hard to find willing referees, and even the ones you find are busy people too, so it may take a while to get a report. You don't want to make the editor cranky by inquiring too often. My rule of thumb (again, in Pure Mathematics) is that it is OK to inquire after about 3 months or so, just to make sure the paper has not fallen through the cracks (it happens), and perhaps give a gentle reminder. But usually it would be about 6 months before I inquire, and not more than every three months after that.

It may be that there is an important reason, such as upcoming job applications / interviews etc, that some (even informal/partial) feedback on the status of the paper would be useful. In that case, it is OK to mention this. As long as it is done respectfully, and without appearing impatient, the editor is likely to be sympathetic. However, they are still unlikely to be able to do very much about it, unless you just happen to write at a time where reports have arrived but the editor hasn't yet been able to deal with them.

TL;DR: Be patient and wait another couple of months. It sounds as though your paper is progressing normally.

You have access to the journal through your institution, yes?

I suggest that you randomly selection some papers, from recent years.

Look at the date submitted. Also do consider how many times these were revised. This is a good proxy for how thoroughly the reviewers tend to scrutinize papers. It takes much longer to write a review, with improvements, for a paper longer than a few pages, rather than just clicking as reviewer, Accept As Is, or Reject, and 5 or 2 out of 1 to 5 in two or three menus.

Compare this with the date accepted.

Most often the time between dates is correlated for all the articles you picked. Randomly.

If so, before submitting to a journal, one can anticipate from this on average how long you will wait before you get feedback.

Some journals it is a year interval. Some it is rejected by the editor in days, or sent out for reviews, which come back in a few weeks.

If the intervals are not correlated, but some articles take two months, others a dozen, to be accepted, that typically is the case for journals which are interdisciplinary. Difficult to get reviewers who accept, except if this is a very widely read journal in science or a broad field in general. If the journal is too specialized, same problem; it takes long, relatively long to find reviewers willing to referee.

1. Where does the submission process start?

The submission process starts in the same way for each of MDPI’s journals,  by clicking on “Submit” on the journal website.

Papers are submitted via SuSy (MDPI’s Su bmission Sy stem), at https://susy.mdpi.com .

2. How do I find out if my title/abstract fits into the scope of the journal/Special Issue?

You can find out about the journal’s scope in the Aims & Scope section, which can be accessed via the journal menu, or by searching for individual Special Issue webpages.

If you are still unsure, you can use our new Journal Selector tool or contact the journal’s Editorial Office. The full list of MDPI journals is available here .

3. How long do papers have to be?

There is no limit to the length of papers! We encourage authors to publish their experimental and theoretical results in as much detail as possible. However, if your paper is less than 3000 words or more than 12,000 words long, we recommend that you contact the Editorial Office in advance.

4. Does my submission have to use an MDPI template?

Not necessarily. If you submit without using an MDPI template, the Assistant Editor will help you with the layout during paper processing.

When submitting your manuscript to SuSy, it will start with an option to select whether or not you have used the journal’s template; some of the fields will already be filled out if you use it. You are therefore encouraged to use the journal’s Microsoft Word template or LaTeX template (including Overleaf) to prepare your manuscript. You can find these templates in the Instructions for Authors section, accessible from the journal menu.

5. Do I have to specify author contributions?

Yes. MDPI joined CRediT ( Contributor Roles Taxonomy ) early on in the initiative’s launch. Contributions should be listed during the submission process and are also part of the journal template.

6. Can I ask for an extension on the revision deadline?

Yes. Our Editorial Office may agree to extended revision time, provided that the authors send their request to the in-house Assistant Editor.

MDPI has one of the most straightforward and efficient publication processes in the whole publishing landscape. Most of our journals suggest 5 days for minor revisions and 10–14 days for major revisions.

Please note that, if there are reviewer recommendations that have not been sufficiently addressed after two rounds of revisions, rejections or resubmissions may be warranted.

7. How fast is the publication process?

MDPI’s median publication time is 40 days from submission to publication, which includes around 16–17 days for a first decision, and just 5 days for final production. However, each paper is unique. Authors can find out more about the publication time of a particular journal by locating that journal’s statistics via the journal menu.

MDPI prides itself on the high speed and flexibility of its publication. All the editorial, production, and invoicing steps are managed using MDPI’s SuSy and are performed by in-house employees, largely using software created and maintained by MDPI. None of the steps or processes are outsourced, allowing us to maintain close control of the quality and efficiency. Our in-house editors around the world offer 24/7 services. In addition, all papers are available online as soon as they are published.

8. How much are the fees (Article Processing Charges)?

You can find information about each journal’s Article Processing Charge (APC) on MDPI’s website ( https://www.mdpi.com/apc ). The APCs currently range from 1000 CHF to 2400 CHF (Swiss Francs). Information on service function by APC breakdown is provided, as well as accepted currency and methods of payment. APC information is also available via the journal menu.

In addition, MDPI offers Authors Services (https://www.mdpi.com/authors/english) before paper submission. Layout editing, as well as a plagiarism check, are offered at a fixed price. The cost of language editing depends on the number of words in your manuscript.

Authors pay a one-time Article Processing Charge (APC) to cover the costs of peer review administration and management, the professional production of articles in PDF and other formats, and the dissemination of published papers in various venues, in addition to free readership and other publishing functions.

9. What discounts are available to me?

MDPI will endeavour to consider all circumstances. However, authors should consider in advance whether they have sufficient funds to cover the APC. Discounts are approved by the Editorial Office and cover a range of editorial collaborations and partnerships—reviewer vouchers, Editorial Board Member and Guest Editor vouchers, including author invitation discounts, Editorial Office discounts for recurring authors, or other special discounts, new journal discounts, and societies and institutional or library collaboration discounts ( Institutional Open Access Program ), and more.

For authors from low- and middle-income countries, waivers or discounts will be granted on a case-by-case basis. MDPI waives around a quarter of its APCs every year and offers one of the most affordable pricing structures in the commercial publishing landscape.

10. Can my manuscript be edited after submission?

If you have made a mistake in your paper, please contact the Editorial Office. Unfortunately, you cannot directly edit a manuscript once it has been submitted. MDPI will allow authors to edit their manuscript in the case of author revisions before peer review, and during author revisions in the peer review process, according to reviewers’ and Academic Editors’ suggestions. The different versions of your manuscript are tracked in SuSy.

Authorship details are added during the initial submission, and all co-authors should double-check the initial manuscript. You cannot add or remove authors once the paper has been accepted for publication (with rare exceptions), and please note that edits during the proofreading stage do not involve the scientific aspects of the paper.

11. If my submission is rejected, will I still have to pay the fees?

No, you will not pay if your manuscript is rejected. If you have prepaid, MDPI will send a refund on request. Bank fees will be deducted from the refund. Alternatively, you could decide to use the credit on your next submission.

12. If my manuscript is rejected, can I submit it to another MDPI journal?

Yes, when a manuscript is rejected, authors are free to submit it to any other journal. You are welcome to choose the same or another MDPI journal if the paper was rejected and you were encouraged to resubmit.

If the manuscript was rejected, we would greatly appreciate it if authors could inform the new journal’s Editorial Office in advance of submitting. The manuscript will be linked to the previous submission in SuSy.

13. Can I withdraw my submission?

Yes, authors can ask the Assistant Editor to withdraw their submission at any time before paper acceptance. Please provide the reason for your withdrawal request.

14. What do all the manuscript statuses mean?

Once a manuscript has been submitted, it will go through different stages of progress on SuSy. Here’s an overview of the statuses and their meanings.

15. Where can I find additional information for authors?

16. Can I contribute a submission in a language other than English?

Hi Katherine,

So here is our situation. We have submitted our manuscript and even its revised version to Scientia Pharmaceutica journal, and now the status has changed to “Pending editor decision”. The submission ID is “scipharm-2152900”. Since the first day of the submission, we have tried to contact the editorial office along with the Handling Editor, requesting them to assist us in applying the discount vouchers we have obtained from performing peer-review. Usually, the Handling Editor would help us after we provided them with the details. Nonetheless, no responses have been obtained from the journal, leaving us in a frustration. I hope to find the solution from commenting in this blog. We have checked everything, spam or junk folders but no response has every been given (apart from the automatic emails from the journal).

I believe you are talking about plagiarism. Plagiarism is not acceptable in MDPI journals. Manuscripts that include plagiarism are rejected.

MDPI uses iThenticate to review manuscripts for plagiarism. There is no set percentage with regard to what is acceptable and what is not. Each manuscript is reviewed on an individual basis.

I submitted a manuscript in “animals” after the review process one recommends improve the manuscript other recommended rejection, unfortunately, the final editor’s decision was “rejection and decline resubmission”. There is another journal with the same aim and scope that I would like to resubmit but I am afraid they will reject immediately it since I did not notice any desk transfer suggestion. The information provided at rejection is important when it comes to resubmission. As long as you have implemented this advice, there’s no reason why your manuscript should not be accepted.

It’s also important to remember that authors who have their manuscript rejected are refunded the APC.

‘Pending decision’ means that the Academic Editor is assessing the peer review process. As you’ve been waiting for more than a week, you can contact the Assistant Editor for an update.

The length of the process could be dependent on the editor’s workload, for example, or the scope of the journal/SI.

Respected Madam, I submitted my manuscript for the Diagnostic Journal Under Special Issues / Applications of AI in ECG on Oct 20,2022. On 14 Nov 2022, I could see all the R three Peer Review Reports (Round -1). Out of which two reviewers gave +Ve Report 3/4 Stars for all the Evaluation parameters. But one reviewer gave -ve report. Later my submission went to the Chief Editors’ Final Decision. On the 36th Day of my submission, the Editor in Chief gave a Final Decision saying – Ask for an Additional Reviewer(Round 2). Once again, my submission status was figured as – Under Review. What does this mean?. Whether my work is it Good or Bad? At this stage, how many additional reviewers (Round 2)will be once again reviewing my manuscript? Final Decision to accept or reject my paper, is it based purely on the Review Report of Additional Reviewers (Round 2) only? or Will there be any weightage with regard to the Review Report sent by Round-1 Reviewers? At this stage, what is the probability of acceptance of my manuscript for publication? Humbly request you Madam, kindly your value-added inputs with regard to the same.

I have a concern regarding MDPi policies. I and a few of my connections from the USA have submitted valuable papers using the voucher code they got during reviewing process. The papers got desk rejections and the same work is not accepted by IEEE Q1 journals.

We are assuming that MDPI is like a money machine nowadays and only or mostly accepted paper without the vouchers code.

MDPI journals do not discriminate against manuscripts with waivers or vouchers.

In 2022, the average Article Processing Charge (APC), based on list price, was approximately CHF 1935. However, the average net cost to authors across all journals was CHF 1258 per paper. This is because the average waiver rate across all MDPI journals was 35%. This year, we consistently provided discounts of 10% or more to authors affiliated with our institutional partners or reviewer vouchers.

There are many reasons for manuscript rejection. It could be because the paper does not fit into the scope of the journal, or because the reviewers felt the findings were incomplete, for example. To find out more about specific papers, you can access the feedback on SuSy , and follow up with the journal’s Editorial Office if you require further details.

Hello dear Katherine Bosworth, My name is Dr. Shams. I have submit my paper Id (sustainability-1826830) to sustainability. During the review process I have add one new author and replace the other one. As you know we cannot add/remove any author directly, so I have submit the authorship change form. Another reason for addition was that, my supervisor don`t like rejection. So, I have plan to add his name once my paper go to review stage. Now our paper is accepted, but as I ask from the Section Managing Editor about the author addition. So, they directly refused that we will not consider the new author. I am afraid we spent a lot of time on review. If the journal cannot accept addition of new author, so they should tell us the reason. Even the editorial boards has right to accept any changes or reject but at must be logical. If they were planning to not accept my changes. They should also tell us on advance during the review stage. I think it is not fear that we has pass the blind review pass and now after acceptance the managing editor decided that they are not accepting our changes regarding author addition. Dear Ms. Bosworth, Can you please explain the editorial process for papers submitted to special issues (SIs) before reaching the under-review stage? Is the SI guest editor (SI GE) the one who decides to proceed with the evaluation of the paper with a peer review or it is a decision that is being made without the involvement of the GE (by the managing editor or the MDPI staff)? Because we have been contacting the SI GE and he showed substantial interest in our paper (even offered us off on the APC), but the paper did not successfully go through the “pending review” stage. I want to know if this decision was made by the SI GE or others. If the SI GE made the shot, sending the paper to another SI led by the same GE in another MDPI journal might be risky for us, and may lead to the same result. Also, I have another question. If the paper is rejected by an editor in one SI, can we submit the paper to another SI in the same journal? Please note that the paper was not peer-reviewed at all, which we find really odd, because some other journals with 3 times higher Impact factors and twice rejection rates, at least gave us the chance to be peer-reviewed. We find the automatic answer given to authors after “rejected by editor” considerably vague and in contradiction with the San Francisco Declaration, which MDPI signed on 2012 with this motto: “We aim to publish all manuscripts that are scientifically correct, and do not artificially increase journal rejection rates, allowing the reader community at large to define impact.” If this is correct, then what is “rejection based on novelty and general significance” after “rejection by the editor”?

As part of this, the Editorial Office asks reviewers if they want to disclose their identity.

This reviewer wants to remain anonymous, so they selected “(x) I would not like to sign my review report”.

Warm greeting, My name is Alvian Toto Wibisono. I am the author of an article that wants to be published in Metals MDPI with the manuscript ID and title as follows: Manuscript ID: metals-1771094.

We started the submission on 30th May 2022, we received a response from reviewers on 20th June and completed the revision on 27th June 2022. However, the status of my submitted article is in the pending decision. We have the opinion that we finished the revision and answered the reviewers’ comments properly. The editor really supports our effort as authors. Therefore, we received positive comments from three reviewers in the first and the second revision round.

According to information from this link, https://susy.mdpi.com/user/manuscripts/review_info/d8d533bff6b18e38e4163b53dc1d5e14 , the submission decision days is 38 days and based on information from the website https://www.mdpi.com/journal/metals , it is said that manuscripts are peer-reviewed and a first decision provided to authors approximately 16 days after submission; acceptance to publication is undertaken in 3.3 days. As we know, Metals MDPI has a high reputation for the rapid publication process.

This situation makes me worry. Because today is the 44th day after my first submission date and the status of my article is still unchanged. I have send email to Metals editorial office and asistance editor who handle my submitted article. However, I am still not received any response. Could you like to help me to solve this problem? I submitted the manuscipt on 30th May 2022 to Journal of Clinical Medicine, now more than 5 weeks passed but status in the system still “under review”. In fact JCM said the average time for peer review just around 3 weeks!

However, this all depends on the time frame in which the reviewers respond. Some may have other commitments, meaning that the reviews are submitted late.

For the abstract submission deadline, you only need to prepare an abstract of your planned paper.

An abstract is a short summary of your research. It’s usually only a paragraph or two.

You can then submit your full manuscript in November.

Hello. I have published a few papers in Sustainabiltiy, and had several rejected. Usually, I find that the rejected ones actually needed more work and the ones that were published were good. Recently however, one was rejected that I believe is a good paper. I’ve re-read it and cannot find the flaws. It is a perfect fit with an open SI. So, I’ve read that it cannot be resubmitted, without an invitation which was not forthcoming. What should I do to get the editor to take another look at this paper? We got first decision in 39 days (despite the fact that average time for it in Agronomy is 19 days) and did our revision within 5 days.
