How Do I Ship to a College Dorm?

Ship to a college dorm

In the world of eCommerce and shipping packages, one huge group of recipients often gets overlooked: college students. In truth, college kids order items online all the time…probably more than most consumers, to be honest! Not to mention, parents send their college-age kids care packages all the time, full of notebooks, instant coffee, ramen noodles, and all sorts of other goodies. All these reasons and more are why it’s so important to format college dormitory addresses properly. Read on how to properly address your shipping labels to ship to a college dorm.

Format a College Dorm Address the Same as a Normal Address

We’ve got some good news: college dorms have standard street addresses, just like any other residence in the world! You might not always see them on the building, but that doesn’t mean they don’t exist. When it’s time to ship there, you’ll just need to add some additional info in the secondary address line.

Here’s an example of how to format an address to a college dorm:

Note that the secondary address line includes three pieces of crucial information: the college name, the recipient’s dormitory hall name, and their room number . If you have an option to add in an optional address line (for an Apartment/Suite/Unit/etc), that’s where you’ll need to add this info. Remember: you need to include the college name, the dormitory hall name, and room number.

Still Running Into Problems?

If you’re still having trouble formatting a particular college dorm’s address, ask your shipping carrier. All of the three major shipping carriers deliver packages to college dorms every day, so dealing with wacky college addresses won’t be anything new for them.

If you’re using shipping software to purchase your label (which you should be, if you want to save the most money) their support staff will also be able to help you format these addresses. Most shipping software companies offer email, instant chat support, or both. Just search for the best way to contact them and ask away! In most cases, you’ll be able to get in touch either by a contact form or an instant chat button on the bottom right of your screen.

Mail Centers

Mail basics, what are the mail center hours.

Hours of operation vary by semester and are posted at each community’s respective mail center. Mail centers are closed for business on weekends and all University observed holidays. For UCF game days, mail center hours are restricted.

What carriers are accepted?

UCF mail centers accept shipments from all major carriers, including UPS, FedEx, DHL, Amazon, and the U.S. Postal Service (USPS). Regrettably, freight shipments are not accepted.

What does the mail center do with improperly addressed paper mail?

Improperly addressed paper mail will be looked up and every effort will be made to determine a delivery destination. If a delivery point cannot be determined, it will be returned to the sender. If a return address can’t be determined, it will be disposed of in accordance with U.S. Postal Service and UCF Housing departmental procedures.

Can students send out paper mail and packages from the mail center?

For paper mail that is already stamped, students can use the blue USPS mailbox locations and mail drops located around campus. For UPS and FedEx packages, students can visit “The Spot” ( Home - The Spot The Spot (ucf.edu) ) located in the John T. Washington Center, in the breezeway across from the UCF bookstore. For USPS packages, if it is small enough to fit into the blue USPS mailboxes on campus, they can be placed there.  If it is a larger USPS package, it will have to be taken to a post office.

Mail Logistics

Is there a cost to receive an on-campus mailbox.

Mailboxes are assigned to current student residents only, and there is no cost associated with having a mailbox.

How do students obtain a mail key?

To obtain a mail key, students should visit their respective community’s mail center. Students will be asked to present their UCFID and will sign for a mail key. If students lose their mail key, a replacement fee of $50.00 will be assessed.

Receiving Mail

When does the mail center receive incoming mail.

UCF mail centers receive incoming USPS mail every morning (at no specific time) and processes it within 24 hours. Processing times may be longer during peak periods.

What time of day do UPS, FedEx, DHL, and other carriers deliver?

All major package carriers deliver once per day. UPS, FedEx, Amazon, DHL, and Lasership deliver directly to the mail centers. Students should wait until they receive an internal email notification from their respective mail center (not the carriers ‘ Delivered ’ notification) to pick up a package.

If a student has moved, can they continue to receive mail at the campus mail center?

Unfortunately, UCF mail centers are not able to accommodate anyone who has moved, graduated or who are no longer a part of the University.

What happens with a student’s mail after leaving UCF housing?

Mail received for anyone not currently living in UCF housing is returned to the sender. Before students leave UCF housing, they should notify senders of their new mailing address or add a forwarding address through their housing portal. To add a forwarding address, access the housing portal. To get started, login via myUCF. In myUCF, navigate to Student Self Service > Housing > Housing Portal. Once in the housing portal, select establish forwarding address under housing quick links.

Will students be notified once a package arrives?

The UCF mail center’s internal tracking system will send an email notification to the student’s official Knights email that they have processed a package. During peak periods the mail centers may ask students to wait 2 hours before picking up a package. Students will receive a notification for each package that is received. Students must show their UCF ID in order to pick up packages.

If a carrier has stated that a package has been delivered and signed for, can a student pick it up?

Packages that are signed for by the mail center first need to be entered into a package tracking software.  Students should wait to receive an email from their respective UCF mail center before coming to pick up packages.

How can a student find out where a package is?

First, make sure that the package has been delivered to the correct Housing mail address by the carrier. Then email [email protected] from your Knights email account requesting assistance locating the package. Students must provide the tracking number, their name, and community, for the mail center staff to better locate the package.

Why do students have to sign for a package?

Every package or envelope that requires a signature for delivery also requires a signature from the recipient. This is primarily for security reasons but also for accountability and tracking.

What if a student doesn’t pick up a package?

Packages will be held for a maximum of 30 days. Packages unclaimed after 30 days will be returned to the sender.

Can a student authorize someone else to pick up their package?

Having a friend's / roommate's ID is NOT accepted. However, students can email [email protected] with their name, UCFID, and the full name of the person that they authorize to pick-up on their behalf. The authorized person MUST have their own valid ID. The mail centers will not release a package without email approval.

Can students receive perishable items?

The mail centers accept perishable packages from traditional carriers only (USPS, FedEx, UPS, DHL, Laser ship, etc.). Upon delivery, the student will receive an email notification to their Knights email and a phone call from mail staff for immediate pickup. If the package is not picked up on day one, the mail staff will send two subsequent reminders via phone call, email, and/or text message. It is the student’s responsibility to pick up the package in a timely fashion. Any package deemed perishable that is unclaimed after 7 days, will be disposed of with email notification to the student of disposal. If a perishable package begins to leak or emit odor prior to the 7-day pick-up period, the package WILL be disposed of for health and sanitation reasons with notification to the student of disposal.

Can students receive store-to-door deliveries to the mail center?

Items delivered directly from the store are referred to as store-to-door deliveries. They include but are not limited to local florists, pharmacies, live shopping (Walmart, Target, InstaCart), food deliveries (DoorDash, UberEats, GrubHub), etc. These types of deliveries are not accepted at the mail centers. Only items shipped through traditional mail carriers (UPS, FedEx, USPS, etc.) are accepted.

When can students start shipping packages to the campus mail center?

For Fall and Spring Semesters, students may begin shipping packages to their respective mail center 2 weeks in advance of the semester start date. The mail centers will process all packages and have them ready for pick up when students arrive on campus.

Why can’t parents receive information about packages?

Due to the privacy and safety of students, the mail centers will not answer questions regarding the receipt of packages. This information will only be provided to the student.

Are there any package restrictions/prohibited items?

The following items are prohibited from delivery to any of the UCF mail centers:

Any package that appears to contain problematic, hazardous, or dangerous equipment or material, will be stored in the mail center pending notification and approval of the Associate Director of Housing and the University of Central Florida Police Department, as deemed necessary, prior to being tagged and a student notification issued.

Do residents need a mailbox key to receive packages?

No, a mailbox key is not required to pickup packages. Residents will wait to receive a package pickup notification in their school email before going to the mail center with their student ID to pick them up.

Do the mail centers accept Amazon packages that require a delivery passcode?

The mail centers are not able to provide a delivery passcode to Amazon delivery drivers on behalf of students. If your Amazon package requires a passcode upon delivery, please have your package delivered to the Amazon hub on campus instead.

How to Write an Address Correctly

address on an envelope

Whether you’re sending a letter or double-checking your resume, knowing how to write an address the correct way is important. Each situation has a specific address format that is appropriate, and writing it correctly can mean the difference between having your letter or package reach its destination or get lost in the mail. A few simple rules can help you write any address.

Basic Address Format Explained

In the United States, the address should use the following format. This can look a little different, depending on the situation.

First and last name Company name, if applicable Street number and name City, state, and zip code

Writing an Address for an Individual

If the recipient is an individual, you don’t need to use a company name. Instead, you simply include the first and last name.

Writing an Address for a Company or Business

If the recipient is a company, you can simply use the company name or also include a specific person at the company.

Addresses With an Apartment Number or Suite

If the recipient has an apartment number or suite number, you need to include that information in the address. You can put it on the same line as the street number and name, or if it’s very long, you can add another line.

Aaron Larson 123 Center Ln., Apartment 34 Plymouth, MN 55441
Zippy Diagnostics 123 Center Ln. Suite 4567 Plymouth, MN 55441

Addresses With P.O. Boxes

If you are sending mail to someone with a post office box, or P.O. box, you must include the P.O. box number in place of the street address.

Aaron Larson P.O. Box 12345 Plymouth, MN 55441

Aaron Larson 123 Center Ln. Plymouth, MN 55441 United States

How to Write a Return Address

A return address lets the postal service know where to send your letter or package if it can’t be delivered to the recipient. You use the same format as you would for any other address, except you include your own information instead of the recipient’s.

How to Address an Envelope or Package

How you address an envelope or package is important. The information in the address helps the postal service know where to deliver the item. According to the United States Postal Service , mail machines read the addresses on letters and packages, so the address format must be correct.

Recipient’s Address on the Front Center

The recipient’s address goes on the center front of an envelope or package, parallel with the longest side of the item. Make sure it is legible and in the proper format.

Return Address in the Upper Left Corner

The return address goes on the upper left corner of the envelope or package. You can also write the return address on the back of the envelope, but the postal service does not prefer this placement.

How to Write an Address on a Resume

As you can see from most resume examples , you should include your address at the top of the resume. This is part of your contact information that a potential employer may use to reach you. Write the address in small but legible print in the upper left of the resume, or use it as part of your header. You can use the same format as you would for a mailing address.

How to Write an Address on One Line

If you need to write an address on one line, such as in an essay or other communication, you need to punctuate it properly. You should use a comma after these elements of the address when you write it on one line.

Here’s an example of how to write an address on one line.

Aaron Larson, 123 Center Lane, Plymouth, MN 55441

You do not need to use a comma between the state and the zip code when you write a one-line address.

Should You Use Abbreviations in Addresses?

There are several abbreviations you can use when writing an address. If you are writing the address on a formal document like a wedding invitation, you may choose to avoid abbreviations. However, it is correct to write it either way.

Aaron Larson 123 Center Lane Plymouth, MN 5544
Aaron Larson 123 Center Ln. Plymouth, MN 5544

It is always correct to use state abbreviations and province abbreviations . These common abbreviations are accepted by the post office and are a normal part of any address.

Details Are Important

If you’re writing a letter, you should also pay attention to the correct way to write the date . Details like the correct date and address format can make a good impression, and they are important to know.

Mail and Package Services

All residential students are able to receive U.S. Postal mail and package deliveries from major delivery agents (USPS, UPS, FedEx, DHL) while living in University Housing. Items that are delivered locally, such as floral arrangements, perishable items, are received by the Commons Desk as well. However, items delivered from restaurants, retail or grocery stores, or third-party companies such as Instacart, GoPuff, DoorDash, etc., are NOT accepted at the Commons Desk. Students are responsible for meeting the driver to receive those deliveries. Perishable items will be properly stored in a refrigerator. Only mail addressed to the student residing in the room will be released, and mail must be addressed to the student's official University name on file.

TIPS TO ENSURE QUICK MAIL DELIVERY:

Mailing Addresses

Please use the proper Mailing Address to ensure prompt and accurate delivery.

For example:

Nittany Lion 131 Pollock Commons Beaver 101 University Park PA 16802

*DO NOT USE THIS ADDRESS: 319 N. Burrowes Street, State College PA 16801. Any mail or packages delivered to this address may not be retrievable, this property is not owned by the University.

NITTANY APARTMENT ONLY:

Student's Official Name 600 E Pollock Road Apt. Number, Nittany Apts. State College PA 16801

Nittany Apartment mailboxes are located outside of the Nittany Community Center for buildings series 1000, 2000, 4000, and 5000. Mailboxes for building series 3000 are located near the parking lot next to Building 31.

Nittany Apartment residents must go to the McAllister Building Post Office to pickup a mailbox key.

Students living in East*, Pollock, and South will have access to a physical mailbox located near the Commons Desk. The mailbox number and combination is viewable in eLiving under the My Info > My Room . If a student is unable to open a mailbox, the student may submit an FixIt maintenance request ; Commons Desk staff are not permitted to remove mail from the mailbox and hand to a student.

Students living in North, West, and some buildings in East* will have all U.S. Mail processed as a package and the student will be notified via email that a letter is available to pick-up.

*East buildings that do not have a physical mailbox: Geary, Sproul

Package Processing

How does the package delivery process work.

When a package is delivered to the Commons Desk, the staff will enter the package into eLiving under the student's account, and then place the package on the appropriate building shelving unit. The eLiving system will then generate an email that is sent to the student's Penn State Access Account, confirming that a package has been received. A student must present his or her Penn State id+ Card to pick up packages at the Commons Desk.

Please be aware that there is a processing delay between when the package is identified as delivered by the shipping agent and when the package is processed by Penn State. Students should not go to the Commons Desk to retrieve their package until they have received the email from eLiving .

The U.S. Postal Office in McAllister Building (next to the HUB-Robeson Center) on campus is available for students to send packages or buy stamps; the Commons Desk is not able to ship packages or sell stamps.

Room Assignment Changes

If a student has a room assignment change during the semester, the student's mailing address and mailbox information will change. U.S. Mail and packages received at the Commons Desk of original room assignment will be forwarded to the Commons Desk of the new room assignment until the student can update information with family and friends.

Missing U.S. Postal Services Mail

If a student believes that they are missing United States Postal Services mail, or has received mail that has been tampered with, the student should submit a claim form either by calling the Inspector General at 888-USPSOIG or submitting online at  www.uspsoig.gov/hotline .

Forwarding Address

The student is responsible for updating their  permanent address in LionPATH to ensure that US Postal Mail received after the student has checked out of University Housing can be forwarded. Mail that cannot be forwarded will be returned to sender. The University is no longer able to forward packages, unless the student provides a pre-paid shipping label. All packages will be returned to sender.

In this situation do not worry as a college student having to return to begin college or return to college, you can have your remaining belongings shipped to you directly to your dorm.

Shipping of items to college dorms requires you to consider certain things including logistics, and the size of the items you plan of having shipped to you in college. You will have to also decide if your shipped items will have to get to your college dorm ahead of you, or your items will be shipped after you have set up your dorm room.

What you plan on shipping will determine your logistics arrangement, for instance, if you plan on shipping a full-size mattress or large piece of furniture, you will need to rent a truck with a liftgate to ship the item to your college location.

How to Address College Envelopes

How Long Are School Transcripts Valid?

How Long Are School Transcripts Valid?

When applying for college, it is important that you mail your application, high school transcripts and other pertinent information to the proper location on campus. Mailing your college application to the wrong place can cause your application to be delayed, or -- worse yet -- lost and unnoticed. Addressing your college envelope for your college application is an important step to attempting admissions into the college of your choice.

Check the college's website and locate their admissions and/or college application page. Check to see if they specify sending college applications to a specific address, whether it be an office location or post office box.

Locate the address by calling the college's main offices if you cannot locate a proper mailing address on the college's website. Ask if your application should be addressed attention to any specific office or individual.

Write the address on the envelope, in the middle of the envelope. Start with the college or university's name, followed by "Attn: Admissions Office" or attention to a particular person if that is what you discovered in the previous step. Then write the street address and/or PO Box address, followed by the city, state and zip code.

Write the return address (your mailing address) on the upper lefthand corner of the envelope.

Place the appropriate value of stamps on the upper righthand corner of the envelope. If you are mailing the envelope via certified mail, priority mail or other specialized service, take the package to the post office to ensure it is sent correctly.

Write large and legibly on the envelope so that the mailing address and return address are clearly readable.

At Harvard, you'll meet friends in expansive libraries and historic classrooms. You'll uncover cozy reading nooks, stumble across sun-kissed lawns, and discover the joys and frustrations of roommates and late-night study sessions. As you grow more familiar with the faces and places around you, you'll begin to recognize something else: a feeling of belonging. Make yourself at home.

Life in the yard.

First-year students live in dorms with shared suites adjacent to Harvard Yard and eat the majority of meals in  Annenberg Hall . This is a place of far-ranging conversations where you'll get to know fellow new students. In addition, you'll engage with your peers during the many activities designed for first-year students.

Our   Dean of Students Office  arranges first-year dormitory assignments. We place first-years in suites with other first-year students, allowing for plenty of opportunities to socialize and bond. Dormitories have a wide variety of rooming arrangements that range from doubles to larger suites. Some have their own bathrooms, but most students share a bathroom with other suites. There are very few singles available.

Entryways and Yards

In addition to having suitemates, each first-year is part of a group called an entryway, which consists of of 20 to 40 students who share a floor or section within their dormitory. A first-year proctor lives in each entryway, who will provide academic, personal, and social guidance, as well as plan events and activities. Each entryway is part of one of four Yards; these nested communities help to create a robust support network for new students.

Find a Job You Really Want In

How to Write an Address on an Envelope

How to write an address on a business letter, how to format a military address, how to write an international address, examples of different addresses, tips for writing an address.

Although the internet and digital technologies have taken over our life, we are still relatively reliant on snail mail. This can be anything from general mail, bills, important documents, and packages of all shapes and sizes. Of course, you can send a package from any corner of the earth now that we have access to the internet and a variety of different global shipping methods. However, you still need the information necessary for regular mail. To that end, if you’re looking to ship or send something to someone, you need their address , and you need to know how to format it properly. If the receiver ’s address is incorrect or improperly formatted, the package or piece of mail will likely not be delivered in a timely fashion. That’s why it’s so important to understand what an address is, how to properly format it on an envelope or package , and what it actually looks like in action. Key Takeaways: When you send an letter or package, you will need to include return to sender address in the top left hand corner of the envelope. You should always double check an address to make sure it’s correct and you have everything spelled correct. It’s important to write legibly on your letter and avoid using any fonts that are hard to read. What Is an Address?

Until the 18th and 19th centuries, most dwellings across the world were not numbered, including general buildings and private residences. During the Age of Enlightenment, street naming and house numbering became an important practice.

Due to the effort of conducting a census and actively recruiting for militaries , having houses and buildings numbered was essential.

Numbering homes allowed all individuals to receive mail in an efficient way as the postal system developed during the 18th and 19th centuries until it reached global usage.

Although most of the modern world is used to addresses being commonplace, in some countries (even developed ones) comprehensive addressing is still incomplete.

For example, in 2015, the Navajo Nation in the United States was still assigning addresses to their rural population. In Asia, many minor streets never received names, and even today, this is still the case in many areas of Japan.

To be specific, an address is a piece of information necessary to find a building, piece of land, or structure anywhere in the world. Depending on your country, this information will be used in a specific order.

An address can include things like towns, cities, counties, countries, specific street names and building numbers, company names, a name of a collection of buildings, as well as postal codes.

Postal codes, also known as postcodes, PINs, or zip codes, are a series of numbers or letters, sometimes including spaces and punctuation, that help postal offices sort mail efficiently.

These are typically assigned to geographical areas, but some may be assigned to individual addresses if they receive a high abundance of mail. These institutions are typically limited to government establishments or large organizations.

Now that we understand what an address is, the next important step is knowing how to address an envelope or package to send.

You’ll need two addresses for this process: the sender’s address and the recipient’s. The sender’s address must be included in case the address is incorrect or the individual has moved without your knowledge.

The postal service will typically return the package or letter to the sender. This is important to keep the contents of your letter or package safely.

Sender’s address. The sender’s address should be written in the upper left-hand corner of your envelope package. You’ll want to include the following information:

Your name or the name of the sender. This can be an individual name or an organization name. However, it’s always best to put it to a specific person’s attention, especially if the organization is large.

Address line one. The next line will be the first line of the address, which is the specific building number and street name.

Address line two. Sometimes there are two lines required for an address. For example, if you have a suite number or specific mailbox you are targeting, that would go here.

Final line. Your final line will include the town, city, state, and zip code for the specific address, depending on your country.

International shipping. If your letter or package is being shipped internationally, you’ll want to include the country beneath the full address.

Recipient’s address. Now, for the most important part. The recipient’s address should be the largest thing on the envelope or package and be placed in the center of the surface on which you are writing. You’ll want to include the following information:

Recipient’s name. Just like the sender, this can be an individual name or an organization name.

If you are sending your package to an organization, be sure you know where specifically or to whom specifically the package or letter should be sent.

Address line one. This is the first line of the address, including building number, street name, office complex, or any other necessary information.

Address line two. Any specific suite number, office number, or floor number.

Final line. Include the town, city, state, and zip code for your package, as you did for the sender’s address.

International shipping. It is very important to understand the requirements for international shipping , especially for packages. But for writing the address, ensure this is a detail you don’t leave out!

The formatting of letters and packages can certainly differ depending on the two individuals sending and receiving packages, as well as where you reside in the world. However, these are the common best practices for addressing a letter across the globe.

Mailing things to a company is relatively similar to mailing something to a residential address or a specific individual, but there are a few considerations you may want to make.

To properly address something to someone at a company, you should consider putting the specific package or letter to the attention of someone in the company.

This means you would write “Attention” or “ATTN” and the name of the individual you are seeking. When writing this individual’s name, ensure you know what prefix they go by, such as Mrs., Ms., Mr., or Dr.

You may also consider putting the individual’s job title or professional distinction if you are familiar enough to use it. The proper formatting for including this information is to add a comma after the individual’s surname and write their specific title.

The next lines should include the name of the business, both lines of the address, if necessary, as well as the town, city, state, and zip code.

If you have received the address from someone, it’s never a bad idea to double-check the street name, building number, and zip code on Google just to make sure the address is correct and exists.

Military addresses are fairly similar to regular residential or business addresses, just with a few extra things to be aware of. We’ll follow the same process as we did when addressing the envelope or package to a specific individual.

Write out the recipients name and include their title.

The next line should have the building number and street name where they receive mail.

Next, instead of the name of the specific city or town in which they are serving, you’ll include DPO (Diplomatic Post Office), FPO (Fleet Post Office), or APO (Air/Army Post Office), depending on where the individual is serving.

The state’s name will be abbreviated by the specific duty station, such as AE (Armed Forces Europe). Finally, you’ll need to include a full zip code, including the additional four-number code, as this is a requirement for delivery to military individuals .

Although we briefly touched upon this above, let’s dive into a little more detail on how to write an international address.

This varies based on country, so ensure you understand your specific country formats address so you can make sure you have all of the information necessary and that you’re laying it out the right way. For now, we’ll focus on addressing a letter or package to a European country.

First, as with any letter, you’ll address the package or envelope to the specific individual or company.

On the second line, you’ll want to write down the building number and street name. For international shipping, the address lines can be confusing.

In rural areas, you might find that the houses or estates are specifically named and must be included in the address.

Next, list the town or city in which the recipient lives.

Next, you’ll need to include the name of the specific county. We don’t typically do this in the United States, but it is quite common in European countries and typically only required in rural areas.

Then, you’ll include the postal code , which will also look different from U.S. zip codes. Where the U.S. uses only numbers, Europeans and other countries typically use a combination of letters and numbers.

Finally, and most importantly, you must include the country name on both the sender and recipient’s address to make sorting your mail and getting it to its desired location easier for the postal service.

How to Create a Resume With a College and Home Address

How to Include College Subjects on Your Resume

How to list references on a curriculum vitae, how to format a date range on a resume.

Whether you’re about to graduate and looking for a job or you’re applying for internships or summer positions while you’re still in school, there are times when college students will need to include both their school and home addresses on their resumes. Including both allows recruiters to contact you no matter where you may be and also indicates that you’d be willing to consider positions in your hometown as well as near school. The format for including both addresses in your resume isn’t much different than the standard resume format but it’s essential that you handle it properly.

Type your full name at the top of the resume. Center the text, and use bold type for extra emphasis.

Add your e-mail address under your name. Include your university address or a personal e-mail address that you check regularly.

Position your school address flush with the left margin. The address should be on at least two lines: the street address first, the city, state and ZIP code on the second line. Include your school phone number underneath the address.

Type your home, or permanent, address, flush to the right margin following the same format as the college address. Include your permanent home phone number underneath the address if it’s different than the number you use at school.

Create a heading for education; use bold print to emphasize the heading. List your school name, your major, your expected date of graduation and your GPA, if desired. If you attended more than one school, or hold multiple degrees, include a separate entry for each. Highlight any special honors or activities that you participated in under each school entry.

Outline your experience. List the organization that you worked for – both paid or unpaid – the location, and the dates you worked there. Use action words to describe your primary activities while you worked there.

Include additional skills if you have them. For example, if you are fluent in a foreign language or hold a specialized certificate or license, include that information on the resume. If you are proficient in specialized computer programs or equipment, list that in this section.

how to write an address

Whenever you mail a letter, you need to write the address correctly. If you format the address incorrectly, your mail might get delivered to the wrong destination.

That’s just one situation in which you’ll need to know how to write an address. You may also need to write your address in the header of a resume, to fill out legal forms, and countless other situations.

If you’re trying to write an address, you’ve come to the right place. This article will give you a complete guide to formatting an address and provide examples of common address formats.

What Is an Address?

What are the address formats for mailing a letter, what are the address formats for specific types of addresses, should you use abbreviations in an address, address examples, conclusion on how to write an address.

An address consists of all the information that a mail carrier needs to identify a location.

Addresses contain some or all of the following pieces of information:

It’s important to include all the information that the post office needs to identify the correct location, without including any extraneous information. If you add any extraneous lines or words, it will be harder for others to figure out what the actual address is.

components of an address

When you mail a letter in the US, you’ll need to include both the recipient’s address and the sender’s address. Let’s look at how to format each one.

Mailing Address Format

Whenever you mail a letter, you need to put the recipient’s address at the center of the envelope. This is where the postal courier will look to figure out where to deliver the letter to.

If you’re writing to a recipient in the US, you should include the following pieces of information, in this order:

The address should consist of three lines of text, one for each of the bullet points above.

You only need to include a suite or apartment number if you live in a building where multiple individuals or families share the same building number. That way, couriers can figure out which specific apartment to deliver the mail to.

When you write the postal code, you can write out either the five-digit ZIP code (e.g. 98052), or the five-digit ZIP code with the area-specific four-digit suffix (e.g. 98052-1134). Including your full postal code will help couriers deliver your package more quickly.

Return Address Format

The term “return address” refers to the address of the person sending a letter or package. The reason you need to include your own address on any letter or package you send is so the postal service knows where to return the mail if they’re unable to deliver it. You should place your return address on the upper left corner of the envelope.

If you live in the US, you should include the following pieces of information, in this order:

Just like with the mailing address, the return address should be three lines of text, one for each of the bullet points above.

The guidelines to follow when writing an address often depends on the specific type of letter you’re writing. For example, if you’re sending an international letter to a country outside of the US, you may need to format your address differently.

Let’s look at some of these specific guidelines.

Business Address Format

When you’re sending mail to a business address, you may need to include some additional information that you wouldn’t include for a personal letter.

That’s because the courier may need to know the company name, as well as the name of the specific person within the company you’re writing to.

Here’s the information you need to include in a business address:

International Address Format

If you’re mailing a letter outside of the US, you’ll need to adhere to the format of the country you’re sending the letter to. That way, the postal service within that country will know where to go.

In general, these are the pieces of information you should include in an international address:

To be safe, you should always double-check the address format of the specific country you’re mailing to.

how to write an address tip

When you write your return address on international mail, you should format it the same way you usually would. In addition, you should include your own country at the bottom of the return address.

Resume Address Format

When you write a professional resume, you should include your address at the top of your resume. You can either include it in your header or add it in the top left corner.

The good news is that you should use the same format for writing an address in a resume that you would use for writing a letter. Include all the same information you would use for a return address.

One-Line Address Format

Sometimes, you may need to write an entire address in a single line of text.

In this case, you should include all the same information that you would include in a multi-line address. The only difference is that you’ll need to replace each line break with a comma when you write an address on one line.

Make sure to include a comma after each of these elements:

It’s perfectly acceptable to use abbreviations when writing an address—in fact, it’s often expected.

Here are some common abbreviations you should know:

You should also abbreviate all the US states with a two-letter code. For example, you would write CA for California or DE for Delaware.

To help you understand what a correctly formatted address should look like, we’ve included some examples you can refer to.

US Address Examples

Here’s an example of a domestic residential address in the US:

John Smith 5480 7th Ave San Francisco, CA 94112

Here’s an example of a US address with an apartment number:

Ms. Mary Green 2211 Edgewood St, Apt 2 Boston, MA 02124-1331

One-Line Address Examples

Here’s how you would write each of the above addresses on a single line:

John Smith, 5480 7th Ave, San Francisco, CA 94112 Ms. Mary Green, 2211 Edgewood St, Apt 2, Boston, MA, 02124-1331

Professional Address Examples

If you’re writing a business letter, don’t forget to include the organization’s name. Here’s an example:

Attn: Rachel Long, CEO The Greatest Writers’ Organization 780 English Avenue, Floor 8 Seattle, WA 90199

International Address Examples

Here’s an example of an address in Canada:

Jacob White 423 Second Street NE Montreal, QC H3Z 2Y7 Canada

(In this case, Montreal is the city, QC is the province, and H3Z 2Y7 is the postal code.)

Here’s an example of an address in Great Britain:

Harry Brown 87 Blackstone Street London EC1Y 8SY England

(In this case, London is the city, and EC17 8SY is the postal code.)

There you have it—a complete guide to writing an address correctly! Here’s a quick recap:

Lastly, make sure you write your address in clear and legible handwriting, so your mail can be delivered efficiently.
